Volunteer rotas without spreadsheets: how to schedule ushers, choir and media teams

Double-booked ushers, a choir with no keyboardist and a WhatsApp group full of "who is on this week?". Here is a calmer way to plan your serving teams.

Every church runs on volunteers, and every church has the same Saturday-night problem: someone has cancelled and nobody knows who can cover.

Start with teams and positions

Make a team for each area of service: ushers, choir, media, children's church, protocol. Give each team its positions, for example sound desk, camera and projection for the media team. Positions matter because "we need two people" is very different from "we need someone on sound".

Schedule weeks ahead

Let volunteers answer for themselves
